Absenteeism Policy Handbook

As a student at ICEAP, you should understand that it is important for you to follow all rules and regulations as they relate to Attendance and Absenteeism.
ICEAP considers class participation to be a vital part of your studies - we emphasize a hands-on approach to learning.
Therefore, it is expected that you will attend every class.
All students are permitted to request time off for religious holidays. These requests must be submitted to the Academic Chair two weeks prior to the holiday or the request for time off will not be accepted.

Poor attendance is an important matter - one which is taken very seriously by ICEAP.

** Any students whose overall attendance falls below 90 percent per semester will be NOT be able to complete the semester, AND may face possible removal from program **
SPECIAL CONSIDERATION
ICEAP appreciates that from time to time, a student may not be able to attend classes due to circumstances beyond his/her control. Where this occurs, special consideration will be given if the circumstances are compassionate or compelling, and sufficient valid evidence is provided by the student to justify this consideration. In such cases, ICEAP may agree to continue the enrollment of a student whose overall attendance has fallen below 90 percent per semester if:
  • a) the student was previously maintaining satisfactory course progress; and
  • b) the student was previously maintaining satisfactory attendance; and
  • c) the student attended at least 80 percent per semester of the scheduled course contact hours.

ABSENCE DUE TO ILLNESS

It is advisable for a student who is ill to obtain a medical certificate. This certificate is to be produced for ICEAP to record in the student's file. A medical certificate does not cancel an absence; it only provides an explanation.

COMPASSIONATE OR COMPELLING CIRCUMSTANCES

Compassionate or compelling circumstances are generally those beyond the control of the student and which have an impact upon the student's course progress or wellbeing. In relation to attendance, these could include, but are not limited to:
  • a) serious illness or injury, where a medical certificate states that the student was unable to attend classes;
  • b) bereavement of a close family member such as a parent or grandparent (where possible a death certificate should be provided).
MISSING MORE THAN 6 days of class (36 individual class periods) OF CLASS PER SEMESTER WILL RESULT IN FAILURE OF THE LEVEL
Attendance at ICEAP is taken all day - both mornings and afternoons.
Attending for only the morning part or the afternoon part will count as a half day absence.
Students must attend a minimum of 90% of classes each semester.
Any student missing more than 6 days of class (36 individual class periods) will not be eligible to write the final exams.
In order to be marked present, a student cannot be any longer than 10 minutes late for any given class. Tardiness any longer than this will result in an absence.
Chronic Absenteeism will result in a reduction of your overall course average. 5 points will be deducted daily for non-validated absences.
Missing 6 days of class (36 individual class periods) without validation will result in a 30 point reduction in your course average.

Excused Absences

ICEAP allows students to miss only ten percent of instructional time and still earn credit in a course. Students with extenuating circumstances should consult the Academic Panel for Elimination of Truancy (APET).

APET accepts email notifications daily until 12:00pm

(attendance@iceap.ca). After that time period, the absence will be automatically recorded as unexcused absence.
Any absence exceeding 3 consecutive days requires a doctor's note to justify the absence. ICEAP reserves the right to ask for a doctor's note even if a student has missed less than three consecutive days but has displayed a pattern of absences and/or lateness.

Female students may not miss class due to menstruation

Women are expected to be in class during these times of month, unless symptoms are so severe that a doctor provides a note stating the student should be home. Ibuprofen is an over the counter medication that is useful in alleviating discomfort, as are other over the counter drugs. Consult a pharmacist for recommendations.

Unexcused Absences

Any absence that is not excused by 9:00am the following morning will be considered unexcused and subject to consequences. Additionally, students who are marked truant will not be allowed to make up any tests missed during the absence.

Holidays

ICEAP classes are not scheduled on statutory holidays. In addition to these all campus locations are closed on the following holidays: New Year's Day; Good Friday; Easter Monday; Victoria Day; Canada Day; Natal Day; Labour Day; Thanksgiving; Remembrance Day; Christmas Day; Boxing Day.

Punctuality and Tardies

It is very important to come to class on time. If you are more than 10 minutes late, you will be marked absent for that class. A tardy shall be defined as a student who is not in their designated class 10 minutes after the class begins. This policy is designed to encourage students to be on time for every class period. However, we realize that certain circumstances beyond our control may prevent a student from arriving on time. To that end, tardies will be reviewed on a case by case basis.

Tests

Students must be present and on time for tests. Test schedules are distributed in advance. There will be no make-up tests for students who miss scheduled tests. In addition, marks are given for student participation. Students who are frequently absent/late will lose participation marks.

Class Participation

Check specific grading rubrics in your course syllabus for details on the grading system. Be sure to communicate with your instructor about any attendance issues. As a student, it is your responsibility to alert the teacher to any unavoidable absences and to keep up with the required assignments.
Please be aware that both class participation and class attendance contribute to your course grade. If you miss a part of a class or an entire class session, your grade will be affected.
If you know you will miss a class in advance, you must turn in the required assignments before the absence in order to receive full credit.

CONSEQUENCES FOR ATTENDANCE POLICY VIOLATIONS

Students with chronic unexcused absences and tardiness may be placed on an attendance contract by the Academic Panel for the Elimination of Truancy (APET) Stipulations of this contract consist of the student attending all of his/her assigned courses daily.
Consequences for violating ICEAP attendance policies will result in removal from ICEAP programming. A conference with administration will be required for students who have excessive truancies or tardies.
Regular school attendance is important in order for a student to maintain passing grades and to remain on track for graduation from the ICEAP program.
Students should refer to the attendance policy in their student handbook. Students who fail to attend school may be withdrawn at the discretion of the school.
